Key Terms in Document Management

Scanned Uploads – Typically Bill received from vendors, expense bills, quotations; orders need to be attached with the relevant vouchers.
In RealBooks, you can scan them and upload directly or via Drop Box into RealBooks. We recommend using Drop Box as RealBooks is integrated with Drop Box and it significantly saves time and simplifies the uploading process. Typically these are jpg images or pdf files.

Digital Documents – Physical bills and documents typically are of multiple pages. These multiple scanned images / pdfs are grouped together and a digital document is created. These documents can be named, indexed and tagged as per needs and policies of the company. These documents are attached to transactions as an evidence for the transaction.  They can be done in three ways:
1)    Automatic
2)    Manual
3)    Automatic via Labels

Digital Files – Documents can be filed in digital files just like bills can be filed in physical files. It is recommended to have digital files mirroring real physical files in your office so that physical documents can be retrieved easily when there is a need of the physical document.
